Configure Data Access Restrictions for Employees and Managers

Learn how to configure data access restrictions in Zylu and control how much historical business data Employees and Managers can view.

Data Access Settings help Business Owners control access to sensitive business information by defining the number of days of historical data each role can access.

Important:

  • Data access can be configured separately for Employees and Managers
  • Access can be restricted for individual reports or permissions
  • The number of accessible days is calculated from the current day
  • A blank field means there is no data access restriction
  • Employees and Managers cannot view data older than their configured access period
  • Business Owners can use Apply to all to apply the same restriction across permissions

Open Data Access Settings

From the main menu, go to:

Manage → Roles & Permissions

Roles & Permissions Screen

Here you can:

  • Manage role-based permissions
  • Control access for Employees and Managers
  • Configure Data Access Settings

Configure Data Access

Step 1 — Open Data Access Settings

On the Roles & Permissions screen, click the Data Access Settings tab.

The Data Access Settings screen will open.

Step 2 — Review Employee and Manager Access

The Data Access Settings screen displays permissions along with separate access settings for:

  • Employee
  • Manager

Each permission can have its own data access period.

For example:

  • Daily Bookings → Employee: Last 2 days
  • Daily Bookings → Manager: Last 2 days
  • Cashbacks → Employee: Last 10 days
  • Cashbacks → Manager: Last 2 days

Step 3 — Set the Number of Days

Enter the number of days of historical data that each role should be allowed to access.

For example:

Employee → Last 5 days

This means the Employee can access data from today and the previous 4 days.

Similarly:

Manager → Last 10 days

This means the Manager can access data from today and the previous 9 days.

Step 4 — Apply the Same Restriction to All Permissions

If you want to use the same data access period across all permissions for a role, click Apply to all.

For example:

Employee → Last 5 days → Apply to all

This applies the 5-day restriction to all applicable permissions for Employees.

Step 5 — Save the Changes

After configuring the data access periods:

  • Review the Employee settings
  • Review the Manager settings
  • Verify the number of days for each permission
  • Click Save Changes

The data access restrictions will be applied successfully.

How Data Access Is Calculated

Data access is calculated from today.

For example, if you configure:

Last 5 days

The user can access:

  • Today
  • Previous 4 days

The user cannot access data before that period.

Example

If today is 19 Aug 2026 and the access limit is 5 days, the user can access data from:

15 Aug 2026 to 19 Aug 2026

Data before 15 Aug 2026 will be restricted.

What Employees and Managers See

When an Employee or Manager tries to access data that is older than their permitted access period, the data will not be displayed.

Instead, they will see a permission message.

For example:

You do not have permission to view data prior to 18 Aug 2026.

The user can click Try Again to return to the report or retry the request.

Remove Data Access Restrictions

If you want a user to have unrestricted historical data access for a permission, leave the corresponding days field blank.

A blank field means:

No data access restriction

Important Notes

  • Data Access Settings are available to the Business Owner.
  • Access can be configured separately for Employees and Managers.
  • Restrictions can be configured for individual permissions/reports.
  • Data access is calculated from the current day.
  • Last 5 days includes today and the previous 4 days.
  • Leaving a field blank allows unrestricted historical data access.
  • Users cannot view data older than the configured access period.
  • Apply to all can be used to apply the same restriction across applicable permissions.
  • Data access restrictions help protect sensitive business information while providing role-based access.
